How to price a delivery or service call?

Pricing a delivery or service call correctly is crucial for profitability. Many businesses underestimate the true trip costs — fuel alone is not enough. Vehicle depreciation, wear and time all play a role. This calculator accounts for all these factors and gives you a fact-based foundation for pricing.

Trip cost: what is included?

The real trip cost consists of fuel cost (consumption × fuel price × distance) plus amortisation cost (SEK/km × km). On a return trip the distance is doubled. A typical passenger car consumes 6–10 l/100 km, while a van may consume 12–16 l/100 km.

Trip fee and per-km surcharge

A common model is a fixed call-out fee that includes a number of free kilometres, combined with a per-km rate for longer distances. This gives the customer predictability and protects you from long drives that erode the margin.

Margins and VAT

The calculator adds your chosen profit margin (in percent) on top of costs and then calculates VAT (25%, 12%, 6% or VAT-exempt). The result is presented as an invoice draft with excl. VAT, VAT amount and total — ready to copy into your invoicing software.

Frequently asked questions

What is a reasonable per-km rate for deliveries in Sweden 2026?

The Swedish Tax Agency's deductible mileage reimbursement for private cars is SEK 25/10 km (SEK 2.50/km). For commercial deliveries by van or truck, the market rate is typically SEK 5–12/km depending on vehicle size and route.

How do I calculate the price of a service call?

Add labour time (hourly rate × hours on site) with any travel time (if you charge it), plus the trip fee. Then add your margin and VAT. The calculator does this automatically.

Should I include the return trip in the price?

Yes, unless you have a return job on the same route you should include the return trip. Otherwise the revenue only covers half the real distance driven.

Which VAT rate applies to transport services?

Passenger transport is taxed at 6% VAT. Freight transport and most service jobs are taxed at 25% VAT. Always check with the Swedish Tax Agency for your specific service.
